1. Purpose
The following Terms of Use regulate the access to and use of the Scientific Poster Voting System (“System”), developed to collect, process, and count votes linked to posters presented at the scientific event in which it operates.
2. Integration with OpenConf
The System uses data obtained from the OpenConf platform, including author information, poster titles, and identifiers. These data are used exclusively to operate the voting process and do not transfer responsibility for their accuracy or maintenance.
3. Recording of Votes and Voters
The System stores submitted votes and essential data regarding voters to ensure integrity, security, and uniqueness of the voting process.
Use an Elementor “List” widget:
Unique vote identifiers, authentication details, and technical metadata (such as timestamp) may be recorded.
Submitting a vote implies acceptance that this data is collected solely to validate voting results.
4. Confidentiality and Data Processing
All information processed by the System, including voter identities and vote details, is classified as confidential.
Access is restricted to the event’s organising team for auditing or legal compliance.
No data is shared or sold to third parties unless legally required.
5. User Responsibilities
Use the System responsibly and according to the Terms.
Refrain from attempts to manipulate, damage, or circumvent the voting mechanism.
Respect the voting limits established by the event organisers.
6. Limitations and Disclaimer of Liability
The System is provided “as is”, without guarantees of continuous, error-free, or invulnerable operation.
The organisation is not responsible for errors, technical failures, downtime, or anomalies.
The organisation is not responsible for hacking, data theft, or malicious attacks.
The organisation is not liable for direct or indirect damages caused by the use or inability to use the System.
7. Intellectual Property
The organisation may update these Terms at any time, with changes taking effect upon publication.
8. Changes to the Terms
We reserve the right to make changes to our site, policies, and these Terms of Use at any time. If any of these conditions shall be deemed invalid, void, or for any reason unenforceable, that condition shall be deemed severable and shall not affect the validity and enforceability of any remaining condition.
9. Acceptance
Using the System constitutes full acceptance of these Terms. Users who disagree must refrain from using the System.
